Minutes
The meeting was called to order at 6:50 PM and members were welcomed. Present were President Ed Cooke, Secretary & Board member Carroll Cameron, Treasurer David Russell, Historian Dan Fitzgerald; Board members Bill O'Brien, Billy Cameron, Jim Cooney, Joe McManus, Chris Kelly, and member Tom Dunn.
President's Report (Ed Cooke)
President Cooke reported on correspondence from Louise Nolan resigning from the Board. Her resignation was accepted.
Good of the Order
Motion by McManus to request from Gov. Bush a declaration naming March as Celtic American Month. Second by Cooney. Motion passed.
Directive: Cooke to write letter to Gov. Busch requesting a declaration naming March as Celtic American Month.
Motion by Russell to change the order of business on the agenda so that Treasurer's report would come before business. Second by C. Cameron. Motion passed.
Treasurer's Report (David Russell)
The treasurer's financial reports and proposed budgets are attached to these minutes.
Christmas Festival problem. Manager of Elks lodge misrepresented amount owed; said we guaranteed 350 dinners at $19.95. Upon checking, we found we had not guaranteed a minimum. Further, the amount quoted for a buffet was $17.50/person. Finally, 325 people attended and at least 10 did not eat because the servers ran out of food.
Directive: Cooney and O'Conner to intercede with the trustees of the 948 Elks Club to get reimbursement for overcharges.
Directive: Fitzgerald to prepare a paragraph for newsletter, thanking members for their support of the Christmas festival and explaining how we intend to correct the problems that occurred.
Motion: by B. Cameron to ask CeeVee Productions to refund a portion of the entertainment fee for the failure of Tony Kenny to show. Second by Cooney. Motion passed.
Directive: O'Brien to call Vince Mitchell of CeeVee Productions to request a refund of a portion of the entertainment fee for the failure of Tony Kenny to show to the Christmas festival.
Motion: by C.Cameron to provide for penalties in future contracts in the event that the lead or head liner does not appear for the performance. Second by McManus. Motion passed.
Four new member applications were received in the last month. Goal is to have 200 members.
Some advertisers have not yet paid for last March's ads in the festival book.
Motion by O'Brien to collect advertising fees at the time the layout is presented. Second by C. Cameron. Motion passed.
Unfinished Business
Christmas Festival
Raffle Prizes
C.L. Conroy won the trip to Ireland.
Reata Cassidy and Gloria Cooke won the weekend at Club Med.
Pat Farrell won the Bahama Cruise.
Dan Fitzgerald was commended for holding the Christmas entertainment together. Tom and Karen Dunn were commended for handling the spotlights.
Other Christmas Events
December 22 Dodge City Emeralds will volunteer at this picnic for disabled children.
St. Patrick's Festival
The president called a planning meeting for Monday, December 9, 2002.
Letters have been written asking Coral Gables for permits for 1 day alcohol permits.
Directive: All EmeraldBoard members to attempt to get their friends to buy and sell ads for the festival book.
New Business
Discussion to incorporate the St. Patrick's Day festival as a 501c(3) corporation.
Directive: Russell to ask Tom Longman to send an estimate of costs for incorporating the St. Patrick's Day festival as a 501c(3) corporation.
Discussion to incorporate the Emerald Society as a 501c(6) corporation.
Directive: O'Brien and Russell to ask Tom Longman to send an estimate of costs for incorporating the Emerald Society as a 501c(6) corporation.
Motion by C. Cameron to donate $1,000 to the Community Habilitation Center pending a letter of request and written documentation of their 501c(3) status. Second by B.Cameron. Motion passed.
Directive: O'Brien and Russell to pay Coral Gables for permits and ask to be placed on the agenda for January.
Social Site Committee Report (Bill O'Brien & Mike O'Connor)
January Kick off Festival and Silent Auction to raise money for the St. Patrick's Festival, Knights of Colombus, Coral Gables; Michael Guyer to provide prizes for a portion of the profits.

March St. Patrick's Festival in lieu of social

Minutes
Motion by C.Cameron that the minutes be placed on the agenda. Second by B. Cameron. Motion passed. Minutes were approved as amended.
Directives: Unfinished directives from the November meeting are:
O'Brien to collect from Beverage Links & Michael Wilson for advertising in the St. Patrick's festival book. B.Cameron to collect from the Taurus, Jim McCormick, and Bob Byrne.
O'Brien and Russell to work together on Tomeny's replacement as website liaison.
Cooke to send out the membership cards.
Fierro to see that the directory is printed in 2003.
Health & Welfare
Chuck Hardee and Dorothy Kane are recovering from illness
Services were held for Frank Durkin, who passed away just prior to the Christmas festival
The first ad for the St. Patrick's Festival book has been bought by Bill Owens.
Motion: by Russell to obtain officers and directors insurance. Second by Cooney. Motion passed.
Directive: O'Brien to investigate officers and directors insurance.
The meeting was adjourned at 9:25 P.M.
